A return request looks administrative until the workflow starts making commitments. Identifying an item, deciding eligibility, creating a return, buying a label, issuing money and restocking inventory are different actions. An intake agent should not collapse them into one vague promise to “handle the return.”
Start with a narrow service: collect the facts, locate the applicable policy and prepare a reviewable eligibility worksheet. This can reduce repeated information gathering without silently delegating financial or inventory decisions to the model. The benefit must be measured in the merchant’s actual queue, not assumed from a demonstration.
Resolve the order and item first
Imagine a hypothetical customer who bought two similar jackets and wants to return one. Their message says “the blue one,” while the order contains two shades and different sizes. The assistant needs the correct order, fulfilled item and quantity before it can evaluate the request.
Use authenticated customer context and trusted order records. Shopify’s order query documentation describes retrieving order details by identifier. The application must still enforce the merchant’s access model and resolve which item the customer means. A plausible match is not enough when several candidates exist.
Return only the fields needed for intake. The agent may need purchase and fulfillment dates, item identity and prior return status; it does not necessarily need unrelated customer history. If an order is unavailable because of access or coverage limits, report that limitation rather than telling the customer the purchase does not exist.
Apply the policy that actually governs the request
Record the merchant’s policy version, effective period and relevant product exceptions. An item’s eligibility may depend on when it was purchased, its category or an explicitly approved exception. The agent should not substitute a generic return policy learned from elsewhere.
Separate objective checks from judgment. A date comparison may be deterministic. Assessing a disputed condition from a customer’s description may require a person. Collect the stated reason without treating the customer as dishonest or assuming that a sympathetic explanation automatically overrides policy.
If the policy is unclear or contradictory, produce a flagged case for the merchant. A useful worksheet identifies the relevant clauses and missing facts. It does not manufacture a definitive rule simply to keep the process moving.
Create an eligibility worksheet, not an automatic verdict
The worksheet should identify the order, item, quantity, reason, policy evidence and unresolved questions. Distinguish customer-provided statements from verified system facts. A photo or message may support review but does not necessarily establish the product’s final condition.
Present an explicit proposed outcome such as eligible under the stated rule, outside the standard window or needs manual review. Explain the evidence supporting that proposal. Keep any exception decision with the person authorized to make it, and record the reason if an exception is granted.
This structure helps staff review the substance without redoing every lookup. It also gives the team useful evaluation categories: wrong item, wrong policy, missing evidence, unsupported exception or inaccurate customer communication.
Keep return creation behind the correct approval
Shopify’s returnCreate documentation states that the mutation assumes the customer’s request has already been approved and creates an open return with a reverse fulfillment order. That is a consequential workflow distinction: calling the mutation should not be used as a substitute for the merchant’s eligibility decision.
Treat refunding, label purchase and inventory restocking as separately authorized operations. The fact that a return exists does not establish that money should already move or that an item is ready for resale. The exact downstream steps depend on the merchant’s systems and procedures.
Before execution, show the reviewer the exact items and quantities. Bind approval to that proposal. If the customer changes the requested item or quantity afterward, return to review rather than applying an old approval to a different return.
Verify state and handle repeat requests
After an approved action, retrieve or otherwise verify the resulting return state and retain its identifier. Tell the customer what actually happened: request received, approved, return created or another confirmed status. Avoid implying a refund is complete when only an intake record exists.
Customers may submit the same request through chat and email. Reconcile against existing return records before creating another. If a write times out, inspect the destination before retrying. A polite duplicate confirmation can conceal duplicate operational work if the integration lacks a safe recovery path.
Test the cases that create real support work
- Two similar items in the same order, with an ambiguous customer description.
- A partially fulfilled order or a quantity already included in another return.
- A request governed by an older policy version or a documented exception.
- A missing record, denied permission or unavailable order service.
- A customer changing the request after approval.
- An uncertain creation result followed by a repeated customer message.
Use a controlled store or approved synthetic records. Grade the item identity, evidence quality, authority boundary and final system state. A friendly answer is valuable, but it should not compensate for creating the wrong return or promising money without authorization.
Measure effort where the agent can help
Track the time staff spend gathering facts and the corrections required in the worksheet. Include exception handling, integration maintenance and repeated tool calls in the operating-cost view. Do not count a case as automated completion if an employee must reconstruct it from the beginning.
This workflow may be unnecessary when the merchant already has a clear self-service return form that handles routine cases well. An agent is more plausible where incoming requests are unstructured and staff spend substantial effort resolving identity or assembling evidence. Keep disputed condition, policy exceptions and financial commitments under the appropriate human and application controls.
A well-bounded return agent improves intake while preserving the merchant’s decision process. Its success is not how quickly it says yes. It is whether the right item, evidence, approval and resulting state remain connected from the customer’s first message to the final resolution.
